Transportation Guidelines for Academic Field Trips

There are separate guidelines for transportation associated with mandatory and voluntary academic field trips.

Mandatory Field Trip Guidelines

If the field trip is considered mandatory for the course:

  1. Brown should provide transportation (bus service or rental vehicles with authorized drivers)
  2. It is not necessary to require students to sign a Release and Waiver form if the field trip is a requirement of the course.

Voluntary Field Trips

If participation in the field trip is voluntary:

  1. Students can arrange their own transportation (Consider RIPTA, which is free when you show your Brown ID)
  2. Students should sign a Release and Waiver/Assumption of Risk form, (available from the Office of the General Counsel (OGC); access will be granted). As long as there are no changes required to the terms of the release, there is no need for OGC to review the forms.

Transportation Considerations

In either case, you can also consider other modes of transportation such as:

  • Can Zip Car be used?
  • Can Strategic Suppliers be used?
  • Can Amtrak be used?
  • Is it possible to rent a vehicle or  passenger van? Please note: safeDrive policy must be followed
  • If an employee's personal vehicle is used, the vehicle owner’s personal auto insurance is primary in the event of an accident.
